How to collect payment at booking (full payment, deposit or card on file)

Connect a payment provider under Payments › Integrations. Then edit the calendar under Calendars › Forms & Payments, turn on Accept Payments, set the amount and currency and, for a deposit only, check Accept Partial Payment. The balance goes to a draft invoice.

Updated on

Before you start

  • Connect a payment provider (Stripe, PayPal, Square, Authorize.net, NMI or Razorpay) under Payments › Integrations. Without it, payment options won't appear on the calendar.
  • If several providers are connected, only the default provider is used to charge.
  • Partial payment doesn't work on calendars with recurring appointments.
Where to find it

Settings › Calendars › (edit the calendar) › Forms & Payments › Accept Payments

Step by step

Charge the full amount at booking

  1. Open Settings › Calendars, click the calendar's three dots and choose Edit.
  2. Open Forms & Payments and turn on Accept Payments.
  3. Choose Charge upfront.
  4. Enter the amount and currency and, optionally, a description the customer sees at checkout.
  5. Leave the mode on Live to charge for real (Test mode doesn't charge).
  6. Save. The customer pays on the final booking step.

Charge a deposit only

  1. With Accept Payments on, enter the service's total amount and currency.
  2. Check Accept Partial Payment.
  3. Choose Flat Amount or Percentage (calculated on the total).
  4. Enter the deposit amount or percentage and, optionally, a description.
  5. Save. The customer sees the total but pays only the deposit when booking.

Save the card without charging

  1. Under Forms & Payments, choose Collect Card on File instead of charging upfront.
  2. Save. The customer enters their card when booking, it's saved for later use, and no transaction is created at that time.

Collect the balance after a deposit

  1. When a deposit is paid, the system creates a transaction for the amount paid and a draft invoice for the balance.
  2. Open Payments › Invoices & Estimates, find the draft invoice and send it to the customer to collect the rest. Customers aren't notified automatically about the pending amount.

Tips

  • If a coupon brings the amount down to zero, the payment step is skipped.
  • With the amount set to zero, no card is requested and no payment is made.
  • Asking for a deposit reduces no-shows without requiring full payment upfront.

Common problems

  • Accept Payments doesn't show on the calendar → No provider is connected. Connect one under Payments › Integrations and come back to the calendar.
  • The customer paid but no money came in → The calendar is in Test mode. Switch to Live under Forms & Payments.
  • The payment went through the wrong provider → Only the default provider is used. Change the default under Payments › Integrations.
  • The partial payment option isn't there → The calendar has recurring appointments enabled; partial payment doesn't work with recurrence.

Frequently asked questions

Which calendar types can take payments?

All of them: personal, round robin, collective, class, service and service menu. Razorpay, NMI and Square don't work on the Classic widget or the service menu.

Does the customer get notified about the balance due?

No. You need to send the draft invoice from Payments › Invoices & Estimates.
