How to create an estimate and turn it into an invoice

In Payments › Invoices & Estimates › Estimates, click New, choose the customer, add the products and send it by email or text. When the customer accepts, open the estimate and click Create Invoice.

Updated on

Before you start

  • The customer must exist in Contacts with an email or mobile number.
  • Recommended: have your products set up in Payments › Products.
  • To collect payment online later, connect a payment provider in Payments › Integrations.
Where to find it

Payments › Invoices & Estimates › Estimates › New

Step by step

Create and send the estimate

  1. In the left menu, open Payments, click Invoices & Estimates and choose Estimates.
  2. Click New.
  3. Check your business details, select the customer and review the estimate number and expiry date.
  4. Click Add an item and choose the products. Adjust prices and quantities.
  5. Review the estimate and click Send.
  6. Choose Email and/or Text and confirm.

Record the customer's answer

  1. The customer opens the estimate from the link and clicks Accept or Decline (they can add a note when declining). The status updates automatically.
  2. If the customer replied by phone or message, open the estimate and use Mark as accepted or Mark as declined.

Convert it into an invoice

  1. Open the accepted estimate (or use its menu in the list).
  2. Click Create Invoice.
  3. Review the new invoice with the same products and click Send so the customer can pay.

Tips

  • The cards at the top of the estimates list show the total value of estimates in progress, handy for forecasting sales.
  • Statuses are Draft, Sent, Accepted, Declined and Invoiced. Filter by them to see what needs follow-up.
  • Customize your logo, terms and wording for estimates in the Invoices & Estimates Settings.

Common problems

  • The customer didn't get the estimate → Check the contact's email and mobile, ask them to look in spam and send it again.
  • There's no Create Invoice button → The estimate isn't accepted yet. Mark it as accepted (if the customer confirmed another way) and try again.
  • I want to apply a coupon to the estimate → Coupons don't work on estimates or invoices. Adjust the item price on the estimate, or apply the discount on the invoice with Add discount.

Frequently asked questions

Does the customer need to sign the estimate?

No, accepting is enough. If you need an e-signature, create a proposal in Documents & Contracts.
