How to let the client pick optional items and quantities in a proposal

In the document under Payments › Documents & Contracts, add a product list, click a product and, under Properties, turn on Optional Item (the client checks or unchecks it) or Edit Quantity (with a minimum and maximum). The total updates with only what the client selects.

Updated on

Before you start

  • Create the products (fixed and optional) in Payments › Products, or create them on the fly from the document editor.
  • Have the document or template open with the client as the primary recipient.
Where to find it

Payments › Documents & Contracts › (open the document) › Product List › (click the product) › Properties

Step by step

  1. Open the document in Payments › Documents & Contracts (or the template, under Templates).
  2. Add the Product List element and add the products: fixed ones first, then the ones the client can choose.
  3. Click the product you want to make optional. In the Properties panel on the right, turn on Optional Item. The client will see a checkbox to select or deselect it.
  4. To let the client choose how many units they want, turn on Edit Quantity and set the allowed minimum and maximum quantity.
  5. Repeat for each product. Products without these options stay fixed.
  6. Make sure the product list is assigned to the primary recipient (this is the default).
  7. Save and send.

Tips

  • Use this for packages: fixed base items plus optional extras (for example, "Cleaning" fixed and "Whitening" optional).
  • The total shows only the selected items and chosen quantities; if you charge on signing, the invoice follows that selection.
  • Combine with recurring and one-time items: the invoice type depends on what the client selects.

Common problems

  • The client can't uncheck an item → The product doesn't have Optional Item turned on. Click the product and enable it under Properties.
  • The client entered an unreasonable quantity → Set the minimum and maximum under Edit Quantity.
  • The total isn't what I expected → The total only counts what's selected. Check the completed document to see what the client chose.
  • The checkbox shows for another signer → The product list is assigned to another recipient. Assign it to the primary recipient.

Frequently asked questions

Does this work in templates?

Yes. Set up optional items in the template and every document created from it inherits the setup.
