How to add fields to a custom object
Go to Settings › Custom Fields, click Add Field, pick the type (text, number, dropdown, date…), name it, choose the object (e.g. Properties) and a folder, and save. If the value must never repeat (license plate, policy number), check Mark Field as Unique.
Updated on
Before you start
- The object must already exist (see "How to create a custom object").
- You need to be an account administrator.
- List the fields you need and each one's type: short text, long text, number, monetary, phone, date, dropdown, checkbox.
Where to find it
Settings › Custom Fields › Add Field
Step by step
Add a field to the object
- In the left menu, open Settings and click Custom Fields.
- Click Add Field.
- Choose the field type (for example single line text, number, dropdown, date).
- Enter the field name (e.g. "Price", "Breed", "Expiry date").
- Under Object, choose your custom object (e.g. Properties) instead of Contact.
- Pick a folder (group) to organize fields on the record, or create a new one.
- For a dropdown, add the options.
- Click Save. The field now appears on every record of that object.
Make a field unique (no duplicates)
- When creating the field, choose a supported type: single line text, multi line text, number or phone.
- Check Mark Field as Unique.
- Save. From then on, nobody can save two records with the same value in that field, whether by hand, through a form, a workflow or an import.
- You can have up to 10 unique fields per object.
Remove "unique" from a field
- In Settings › Custom Fields, find the field and select it.
- Click Bulk Actions › Edit.
- Uncheck Mark Field as Unique and save.
- Careful: this change is permanent; the field can't be made unique again.
Tips
- Use unique fields for identifiers: policy number, license plate, case number, customer code. Don't use them on text that changes often.
- Prefer dropdowns over free text for anything you'll filter or report on (status, type, city): free text ends up spelled three different ways.
- Decide on uniqueness early: once unchecked, there's no going back.
- Object fields can be used in forms, filters, smart lists and workflows.
Common problems
- The field doesn't show on the object record → In Custom Fields, check the field was created for the right object (not Contact). Refresh the page.
- "A record with the same value already exists" → The field is unique and that value is already on another record. Fix the value or open the existing record.
- I can't mark the field as unique → Only single line text, multi line text, number and phone support uniqueness. Dropdowns, email and dates don't.
- I can't delete a field → Fields marked unique can't be deleted. Remove uniqueness first (irreversible) and try again.
- Rows failed on import because of duplicates → The import finishes, but rows whose unique value already exists are rejected. Clean the duplicates in your file and re-import just those rows.
Frequently asked questions
Can I change a field's type after creating it?
Create a new field with the right type and, if needed, migrate the values via import. Changing the type with data already saved can lose information.
Is uniqueness account-wide?
Yes: the value can't repeat on any record of that object in your account.
