How to grant course access automatically with a workflow
In Automation › Workflows, create a workflow with the trigger you want (form submitted, payment completed, tag added…), add the Course Grant Offer action, pick the published offer, test it and publish. The student gets the access email right away.
Updated on
Before you start
- The course offer must already exist and be Published in Memberships › Courses › Offers.
- Know what will trigger access: a form, a payment, a tag, a pipeline stage.
- You need permission for Automation.
Where to find it
Automation › Workflows › + Create Workflow › (trigger) › + › Course Grant Offer
Step by step
- Open Automation › Workflows and click + Create Workflow. Start from scratch, from a template or with AI.
- Click Add Trigger and choose the event that earns the course, for example:
- Form Submitted (filter by the sign-up form).
- Payment Completed (filter by product or payment source).
- Tag Added (for example, the tag "student-course-x").
- Click the + below the trigger and choose the Course Grant Offer action.
- Select the offer (or course product) the contact should get access to and save the action.
- Optionally add more actions after it: a welcome email, a tag or an internal notification.
- Test the workflow with one of your own contacts and confirm access was granted and the other actions ran.
- Switch the toggle to Published and click Save.
Tips
- Build one workflow per course or per offer: it's easier to adjust each one's triggers and messages.
- The welcome email should go out through one path only: either the welcome email in the membership settings, or an email inside the workflow. If you add an email to the workflow, the default welcome email from membership settings is no longer sent.
- For follow-ups, there are course-specific triggers (offer access granted, new sign-up, lesson completed, product completed) you can use in another workflow.
- To remove access when a payment fails or a subscription ends, build another workflow with the matching trigger and the remove-offer action.
Common problems
- The welcome email never arrives → The email is set up both in membership settings and in the workflow, so neither is sent. Pick only one of the two.
- The contact didn't get access → The workflow isn't published, or the trigger didn't fire. Check the workflow's execution history and confirm the trigger filters.
- The offer doesn't show up in the action → The offer is in Draft. Publish it in Courses › Offers and come back to the workflow.
- The student has access but can't sign in → Access was granted, but the student hasn't set a password yet. Ask them to use the link in the email or Forgot Password on the login page.
Frequently asked questions
Can I grant several courses in the same workflow?
Yes. Add one Course Grant Offer action per offer, one after the other.
How do I know who got access through the workflow?
The workflow history shows every contact that passed through the action; in Courses › Analytics you see the members of each offer.
