How to create events on the community calendar

Inside the group, open the Events tab and click Create Event. Fill in the title, description, image, date and time, the meeting link or address, choose one-time or recurring, who can see it and whether it's free or paid, turn on reminders and save. Members register and add the event to Google or iCal.

Updated on

Before you start

  • You must be the group owner or an admin.
  • Have the meeting link (Zoom, Google Meet or other) or the venue address, an image for the event, and the date and time.
  • If the event is paid, you need a payment provider connected under Payments › Integrations.
Where to find it

Memberships › Communities › Groups › (open the group) › Events › Create Event

Step by step

Create the event

  1. Open Memberships › Communities and enter the group.
  2. Click the Events tab, then Create Event.
  3. Enter the title and description and upload the event image.
  4. Set the start and end date and time.
  5. Under location, paste the online meeting link (Zoom, Google Meet…) or type the physical address.
  6. Choose whether it's a one-time event or repeats (weekly or monthly).
  7. Under who can see it, choose: all members, only people with a certain course, only people in a private channel, or only people who reached a certain level.
  8. Choose free or paid. If paid, set the amount, the currency, and whether the price covers a single event or the whole series.
  9. Turn on reminders so members get a heads-up before it starts.
  10. Save. The event appears on the Events tab, and members get a notice in the group and by email.

What the member does

  1. Opens Events in the group (in the mobile app it's under More).
  2. Clicks the event and then Register.
  3. Clicks Add to Google or Add to iCal to keep it in their own calendar.
  4. Gets in-app notifications and reminder emails before the event.

Customize the reminder email

  1. Go to Memberships › Client Portal › Settings › Email Settings › Communities.
  2. Open Event Reminder Email.
  3. Click Default Template, then Edit.
  4. Change the subject and body; you can insert merge fields (member name, event name…).
  5. Preview and click Save.

Tips

  • Use visibility restrictions for exclusive sessions: for example, a mentoring call only for people who bought the advanced course, or only for members at level 5 and up.
  • For recurring sessions (e.g. Q&A every Tuesday), create one weekly repeating event instead of one per week.
  • A paid event has payment built into the registration flow; you don't need a separate payment link.
  • Announce the event in a pinned post or an announcement channel too; the Events tab isn't always the first place members look.

Common problems

  • I don't get notified when someone registers → The system doesn't notify the organizer about registrations; only attendees get a confirmation. If you need to track sign-ups, use a registration form connected to a workflow that alerts you.
  • A member wants to cancel their registration and can't find where → There's no cancel-registration button. In the mobile app, the member can open the event on the Events tab, tap the three dots and choose Delete to remove it from their personal calendar view; the organizer isn't notified.
  • Some members can't see the event → The event has restricted visibility (course, private channel or level). Edit the event and widen the who can see it option.
  • The paid event option doesn't show → Connect a payment provider under Payments › Integrations and try again.
  • The reminder email goes out with the default text → Save your edited template under Email Settings › Communities and make sure that template is selected for the reminder email.
