How to add Zoom or Google Meet links to appointments
Connect Zoom in Settings › Calendars › Connections › Video Conferencing, or connect Google Calendar to use Google Meet. Then, on the calendar, choose Zoom or Google Meet as the meeting location: each booking gets its own link.
Updated on
Before you start
- For Zoom: you need a Zoom account (a free one works).
- For Google Meet: your Google Calendar must be connected and selected as the linked calendar (see the Google Calendar article).
- Automatic links only work on personal booking, round robin, service and collective calendars. Event calendars don't generate links.
- Each user connects their own account (one Zoom account per user).
Where to find it
Settings › Calendars › Connections › Video Conferencing › Add New
Step by step
1. Connect Zoom
- In the left menu, open Settings and click Calendars.
- Open the Connections tab, then Video Conferencing.
- Click Add New, then Connect next to Zoom.
- Sign in to Zoom and authorize the connection.
- Your Zoom account now appears in the video conferencing list.
You can also connect Zoom in Settings › My Profile, in the calendar section, Video Conferencing tab.
2. Get Google Meet ready
- Connect Google Calendar in Settings › Calendars › Connections.
- Under Linked Calendar, choose your Google calendar and save.
3. Set video as the calendar's location
- In Settings › Calendars, edit the calendar.
- In the team members section, click + Add Location.
- Choose Zoom or Google Meet.
- Click Save.
- Make a test booking and check that the appointment has a meeting link.
Tips
- For the link to reach the client, your confirmation and reminders must include the appointment location field. See the article on reminders and confirmations.
- On round robin or service calendars with a single member, you can add several locations (for example, Zoom and your office address) and the client chooses on the booking page.
- You can have Zoom and Google Meet connected at the same time, but each calendar uses one of them at a time.
- If Zoom disconnects and you reconnect it, missing links on upcoming appointments are created automatically.
Common problems
- Zoom or Google Meet doesn't appear as a location → The account isn't connected on the user who takes the appointments yet, or it's an event calendar. Connect the account and use a personal, round robin or service calendar.
- No Google Meet link is created → Google Calendar isn't selected as the linked calendar. Set it in Connections › Linked Calendar.
- The client didn't receive the link → The appointment location isn't Zoom/Google Meet, or the confirmation message doesn't include the location field. Fix the location on the calendar and add the field to the message.
- I want to switch Zoom accounts → In Connections › Video Conferencing, click Disconnect next to Zoom and reconnect with the other account.
Frequently asked questions
Do I need a paid Zoom account?
No. A free account is enough to connect; paid plans only add longer meetings and other Zoom features.
Can I use a different Zoom account for each calendar?
No. Zoom is tied to the user, so each user has one Zoom account.
