Client portal

How to choose what customers see in the portal (courses, communities, affiliates, estimates, appointments)

Under Memberships › Client Portal › Settings › App Permissions, toggle each portal area (courses, communities, affiliates, estimates, appointments, billing) and the Sign in with Google button on or off, then click Save. Turning an area off only hides it; no data is deleted.

Before you start

  • You need access to Memberships in your account and permission to change portal settings.
  • Keep in mind that app permissions apply to all portal customers: you can't turn an area on for just one customer.
  • Think about which areas make sense for your business: courses, communities, affiliates, estimates, appointments, billing and subscriptions.
Where to find it

Memberships › Client Portal › Settings › App Permissions

Step by step

Turn portal areas on or off

  1. Open Memberships › Client Portal and click Settings.
  2. Open App Permissions. You'll see every portal area listed, each with a toggle.
  3. Turn on the areas customers should see (for example Courses and Communities) and turn off the ones you don't use (for example Affiliates).
  4. Click Save. The change applies immediately to all customers.

Turn the Sign in with Google button on or off

  1. In the same App Permissions list, find Google Sign-In.
  2. When it's on, the login and sign-up pages show the Sign in with Google button. When it's off, the button disappears and customers sign in with email and password, an emailed code or a magic link.
  3. Click Save.
  4. Open the portal URL in an incognito window to confirm the result.

What each area shows the customer

  1. Courses: the courses they're enrolled in and their progress.
  2. Communities: the groups they belong to.
  3. Affiliates: affiliate links, commissions and payouts.
  4. Estimates: estimates you sent, with options to view, accept or decline and download signed ones.
  5. Appointments: past and upcoming appointments and the option to book new ones (you also need to enable portal booking on each calendar).
  6. Billing and subscriptions: invoices to download and subscriptions to manage or cancel.

Tips

  • Turning an area off only hides it from the portal menu. Courses, posts, progress and documents stay stored and reappear when you turn it back on.
  • If you change permissions after customers are already using the portal, let them know with a short message explaining what changed.
  • Limit who on your team can change these settings by adjusting user permissions under Settings › My Staff.
  • Before promoting the portal, test the full flow (log in, view each area) in an incognito window.

Common problems

  • A customer can't see an area I turned on → Make sure you clicked Save and ask the customer to refresh the page or sign out and back in to the portal.
  • The Google button still shows after I turned it off → Save the settings and open the portal in an incognito window; the browser may be showing a cached version.
  • I want to hide an area for just one customer → That isn't possible: permissions are the same for everyone. Instead, don't give that customer access to that area's content (course, group, campaign).
  • I turned on Appointments but the customer can't book → Portal booking still needs to be enabled on the calendar, under Calendars › Calendars › edit calendar › Advanced settings › Booking channels.

Frequently asked questions

Does turning off Google delete the accounts of people who signed in with Google?

No. It only hides the button. Those customers keep signing in with email and password, an emailed code or a magic link.

Can I turn off billing so customers can't cancel subscriptions on their own?

Yes. Turn off the billing and subscriptions area under App Permissions; customers will no longer see subscription management in the portal.
