How customers view invoices and estimates and cancel subscriptions in the portal

In the portal, the customer clicks Profile (top right) › Account Settings › Billing & Subscription to view and filter their subscriptions, cancel one, and download invoices on the Invoices tab. Estimates show in their own widget on the portal dashboard. To hide all of this, turn the area off under App Permissions.

Updated on

Before you start

  • The billing and subscriptions area (and the estimates area) must be turned on under Memberships › Client Portal › Settings › App Permissions.
  • Invoices, subscriptions and estimates must be created under Payments and linked to the contact who logs in to the portal.
  • The customer needs a portal account (invite them or send them an access link).
Where to find it

(in the client portal) Profile › Account Settings › Billing & Subscription

Step by step

View and cancel subscriptions

  1. The customer logs in to the portal and clicks Profile in the top-right corner.
  2. Chooses Account Settings and opens Billing & Subscription.
  3. Sees every subscription, active and inactive. They can filter by source, status or date range.
  4. To cancel, they click the subscription, choose Cancel and confirm. Whatever the subscription gave access to (for example, a paid group) ends immediately.

View and download invoices

  1. In the same area, they open the Invoices tab.
  2. They see past and current invoices with the payment history.
  3. They click an invoice to download it.

View, accept and download estimates

  1. On the portal dashboard, the customer finds the Estimates widget. In the mobile app it's on its own tab.
  2. They click the eye icon to view the details and accept or decline the estimate.
  3. They click the download icon to save a signed estimate as a PDF. Only signed estimates can be downloaded.
  4. If there are more than five, they click View All.

Hide billing or estimates from customers

  1. Go to Memberships › Client Portal › Settings › App Permissions.
  2. Turn off the billing and subscriptions area, or the estimates area, and save. It disappears from the web portal and the app.

Tips

  • When a customer cancels through the portal, they get a confirmation email and admins get a cancellation notice. In a paid group, they're removed from the group automatically.
  • To refund a payment, use Payments › Transactions › three dots › Refund; customers can't refund themselves through the portal.
  • If you'd rather handle cancellations personally, turn off the billing area in the portal and manage them under Payments › Subscriptions.

Common problems

  • The customer can't see Billing & Subscription → The area is turned off under App Permissions, or the subscription is linked to another contact (or to an email different from the portal email).
  • The customer canceled and wants to undo it → Cancellation is immediate and can't be reversed. They need to subscribe again through the product or group link.
  • The estimate download button doesn't show → Only signed estimates can be downloaded. Ask the customer to accept and sign it first.
  • The estimates widget doesn't show on the dashboard → The estimates area is turned off under App Permissions, or there are no estimates linked to that contact.

Frequently asked questions

Can the customer see old estimates they already accepted or declined?

Yes. The full estimate history stays available, including accepted and declined ones.

Are the invoices in the portal the same ones I email?

Yes. They're the invoices created under Payments › Invoices & Estimates and linked to the contact.
