How to create a WhatsApp template with an image, video, document or location
Go to Settings › WhatsApp › Templates › Create Template, turn on the header, choose Media and upload an image (JPG/PNG, 5 MB), video (MP4, 16 MB) or PDF (100 MB). For a location, choose Location and enter latitude, longitude, name and address. Meta then reviews the template.

Before you start
- Your WhatsApp number must be connected to Elooo CRM.
- Have the file ready in an accepted format: JPG or PNG image (up to 5 MB, 8-bit, RGB or RGBA), MP4 video (up to 16 MB) or PDF document (up to 100 MB).
- For a location template, get the latitude and longitude from Google Maps: right-click the place on the map and copy the coordinates.
- Like any template, this one must be approved by Meta before you can send it.
Where to find it
Settings › WhatsApp › Templates › Create Template
Step by step
Template with an image, video or document
- In the left menu, open Settings and click WhatsApp.
- Open the Templates tab and click Create Template.
- Name the template, pick the category (marketing, utility…) and the language.
- Turn on Show header and choose the Media type.
- Click Upload Media and pick the image, video or PDF. The type is locked in: an image template will only accept images.
- Write the message body (with variables if needed) and, optionally, the footer and buttons.
- Click Create. The template is submitted to Meta for approval.
Location template
- Follow steps 1 to 3 above.
- In the header, choose the Location type.
- Fill in the latitude and longitude (copied from Google Maps), the location name and the address.
- Write the message body and click Create.
Send the template
- In a conversation: open Conversations, pick the contact, click the option to use a template to start the chat, select the media template and click Send.
- In bulk: in Contacts, open the smart list, select the contacts, click the WhatsApp icon, choose the template and name the action.
- In a workflow: add the WhatsApp action, choose the template and save. The preview shows the file URL; the customer receives the actual file.
Tips
- When sending, you can swap the template's file for another of the same type: paste a public link to the new file. An image template only accepts PNG and JPEG.
- Use images for launches and promotions, PDFs for guides and catalogs, and locations to invite people to an event or show where your store is.
Common problems
- Error when uploading the file → The file exceeds the limit (5 MB image, 16 MB video, 100 MB PDF) or isn't in an accepted format. Reduce the size or convert it to JPG/PNG, MP4 or PDF.
- Error when swapping the file at send time → The new file isn't the same type as the template (for example, a video in an image template). Use a file of the right type with a public link.
- The template was rejected → Check the variables (
{{1}}format, with text before and after), avoid requesting sensitive data, and don't duplicate an existing template. - The template shows as "Paused" → It received negative feedback or low engagement. It can't be sent until it's back to Active.
Frequently asked questions
Does a template with a file also need approval?
Yes. Every template, with or without a file, goes through Meta's approval.
Can I change the image without creating another template?
Yes, at send time: replace the file link with another public link of the same type.
