How to create your email signature

In Settings › My Profile, on the General tab, write your signature in the editor, turn on Enable signature on all outgoing messages and save. Each user has their own signature.

Updated on

Before you start

  • Signatures are per user: each person on the team sets up their own.
  • Have the text ready (name, title, phone, website) and, if you want, your logo image.
Where to find it

Settings › My Profile › General › Email Signature

Step by step

  1. Open Settings and click My Profile.
  2. On the General tab, find the email signature editor.
  3. Write your signature. You can use fonts and sizes, colors, alignment, links and images.
  4. If you already have an HTML signature, use Insert HTML (or the source view) and paste it.
  5. To start over, click Clear All.
  6. Turn on Enable signature on all outgoing messages so it's added to your emails automatically.
  7. If you want the signature to appear above the quoted text when replying, turn on Include this signature before quoted text in replies.
  8. Click Save.

Place the signature at an exact spot in an email

  1. In the email or template editor, click Custom Values.
  2. Choose User › Signature. The code {{user.email_signature}} is inserted.
  3. Put it where you want the signature to appear, for example after your closing line.

Common problems

  • The signature doesn't appear on emails → Check that you turned on Enable signature on all outgoing messages and that you edited the right user's profile.
  • A campaign shows someone else's signature or a blank one → The {{user.email_signature}} code uses the user linked to the email (the sender or the user assigned to the contact). Check who the sender or the contact owner is.
  • The pasted signature looks broken → Paste it with Insert HTML instead of pasting the text directly.

Frequently asked questions

Is the signature per user or for the whole company?
