Invoices and estimates

How to customize your invoice layout (button, business fields, sections and columns)

Go to Payments › Invoices & Estimates › Settings › Title, Terms and Layout › Customize Layout to change the pay button color and text, show or hide business, invoice and client details, rename sections and columns, and add up to 3 custom values. Save and every new invoice uses the layout.

Updated on

Before you start

  • You need permission to manage Payments.
  • Your core business details (name, address, phone, logo) come from Settings › Business Profile; make sure they're correct.
  • Changes apply to invoices you create from now on; PDFs already sent don't change.
Where to find it

Payments › Invoices & Estimates › Settings › Title, Terms and Layout › Customize Layout

Step by step

Open the layout editor

  1. In the left menu, open Payments and click Invoices & Estimates.
  2. Click Settings (top right).
  3. In the left-hand menu, choose Title, Terms and Layout.
  4. Scroll to Invoice Layout and click Customize Layout.

Layout tab

  1. Open Branding Settings: pick the Pay Button Color, the Border Color and, if you like, change the Button Text (e.g. "Pay" → "Donate").
  2. Open Business Information: check or uncheck the fields to show (name, phone, address, tax IDs) and click Add Custom Value to include up to 3 extra details (e.g. company registration, website).
  3. Open Contact Information: rename the section header (e.g. "Billed to" → "Shipping details") and add contact custom fields if needed.
  4. Open Invoice Information: show or hide Invoice Number, Issue Date and Due Date.

Labels tab

  1. Rename the line-item column headers (e.g. "Item Name" → "Service"), within the character limit shown (up to 75).
  2. Check or uncheck Price, Quantity, Tax, Subtotal and the other columns you want customers to see.

Save

  1. Review the live preview on the side.
  2. Click Save changes (top right). To go back to the defaults, use Reset All Changes.

Tips

  • An unchecked field or column is hidden from the customer, but your team can still fill in the value when creating the invoice.
  • Use business custom values for any legal details your country requires on invoices.
  • The saved layout shows in the invoice preview and in PDFs generated from then on.

Common problems

  • I changed the layout but the customer's invoice looks the same → PDFs already sent don't update. Generate a new PDF or resend the invoice.
  • I can't add more custom values to Business Information → The limit is 3. Delete one to add another.
  • The column header gets cut off → Stay within the field's character counter; use a shorter name.
  • I hid Quantity and my team can't see it when creating invoices → Hiding only affects what the customer sees; the field stays editable during creation. Check you didn't uncheck another field by mistake.

Frequently asked questions

Does the layout apply to estimates too?

This editor is for the invoice layout. Estimates have their own title and terms in the same settings.

Can I have different layouts per customer?

No. There's one layout per account and it applies to all new invoices.
