How to connect your Gmail or Outlook inbox to Elooo CRM

In Settings › My Profile, scroll to the email sync section, choose Gmail or Outlook, click Connect and authorize the connection. One-to-one emails you exchange with contacts will then show up in Conversations and in your personal inbox.

Before you start

  • Each user connects their own mailbox. The connection is made in the profile of the person who will use that email.
  • You need a Gmail (or Google Workspace) or Outlook (or Microsoft 365) account and its password to authorize the connection.
  • You must be a user of the business account you're working in. If you don't see My Profile under Settings, ask an admin to add you to the team.
  • Sync is for one-to-one emails. Campaigns and automated emails still go out through the account's email service, not your personal inbox.
Where to find it

Settings › My Profile › Email (2-way sync)

Step by step

  1. In the left menu, open Settings and click My Profile.
  2. Scroll down to the Email (2-way sync) section.
  3. Choose Gmail or Outlook and click Connect.
  4. In the window that opens, pick the email account you want to connect (or sign in to it).
  5. Review the requested permissions and authorize the connection by clicking Continue and then Allow (or Accept for Microsoft).
  6. Go back to Settings › My Profile and check that the address shows as connected in the sync section.
  7. To test it, open a contact, send them an email from Conversations and check that the message also appears in your mailbox's sent folder.

Change or disconnect your mailbox

  1. In Settings › My Profile, go to the email sync section.
  2. To switch to another address without disconnecting first, use Update Email and pick the new account.
  3. To stop syncing, use Disconnect. Emails that were already synced stay in Elooo CRM.

Tips

  • Sync starts when you email a contact from Elooo CRM, or when a contact who already exists in the CRM emails your connected address.
  • To bring someone who isn't a contact yet into the CRM, add the BCC address shown in the sync section to the Cc or Bcc field when you email them from Gmail or Outlook. The contact and conversation are created automatically.
  • Gmail limits sending to about 500 emails per day. This limit only applies to one-to-one emails, not campaigns.
  • Attachments: up to 25 MB on Gmail and up to 3 MB on Outlook. Larger messages won't sync.

Common problems

  • I don't see My Profile under Settings → Make sure you're inside the right business account and that your user has been added to it. If not, ask an admin.
  • My old emails don't appear in the CRM → That's expected. Only emails exchanged after you connect are synced; past history isn't imported.
  • An email I got in Gmail didn't show up in Conversations → Only emails from people who are already contacts in the CRM come in. Create the contact or use the BCC address when you email them. Emails from teammates who are also users of the account aren't synced, for privacy.
  • Gmail shows a "Delivery incomplete" warning when I use the BCC address → You can ignore it: Gmail doesn't get a delivery receipt from that address, but the message is usually still logged in the CRM. Check Conversations.
  • Sync stopped working → You may have changed your password or removed permissions. Disconnect the mailbox and connect it again, granting all requested permissions.

Frequently asked questions

Does disconnecting my mailbox delete emails?

No. Emails that were already synced stay in Elooo CRM. Only new emails stop syncing.

Do campaigns also go out through my Gmail?

No. Campaigns and automations are sent through the email service set up on the business account. Only one-to-one emails use your connected mailbox.
