How to add and verify your email sending domain (SPF, DKIM and DMARC)

In Settings › Email Services › Dedicated Domain & IP, click Add Domain, enter a subdomain (e.g., mail.yourbusiness.com), copy the DNS records shown into your domain's DNS panel and click Verify domain.

Updated on

Before you start

  • You need a domain you own (for example, yourbusiness.com). Free addresses like @gmail.com or @hotmail.com don't work for bulk sending.
  • Have access to the panel where your domain is registered or managed (your DNS provider), with permission to create and edit records.
  • This domain is used by the Elooo CRM email service. If you send through your own SMTP, domain authentication is done with your SMTP provider.
Where to find it

Settings › Email Services › Dedicated Domain & IP › Add Domain

Step by step

Add the domain

  1. In the left menu, open Settings and click Email Services.
  2. Open the Dedicated Domain & IP tab.
  3. Click Add Domain in the top-right corner.
  4. Enter your sending domain. A subdomain is recommended, for example mail.yourbusiness.com, to protect your main domain's reputation.
  5. Click Add & Verify.

Set up the DNS records

  1. If your DNS provider supports automatic setup, click Continue, sign in to your provider and authorize the connection. The records are created for you and the domain is verified.
  2. If it doesn't, you'll see the list of records to create manually (SPF, DKIM, CNAME, MX and DMARC). Use the Copy buttons so you don't miss a single character.
  3. In your DNS provider's panel, create each record with the type shown (TXT, CNAME or MX).
  4. In the Name/Host field, use @ for the root domain; for a subdomain, enter only the subdomain part (for example, mail).
  5. In the Value field, paste exactly what you copied, without changing anything.
  6. If possible, set the TTL to 300 seconds (5 minutes).
  7. Go back to Elooo CRM, open the three-dot menu next to the domain and click Verify domain.
  8. Each record shows its status. Once they're all correct, the domain shows as Verified. A security certificate is issued automatically within a few minutes.
  9. Send a test email and check that it arrives.

Tips

  • SPF lists which servers can send on behalf of your domain; DKIM digitally signs your emails; DMARC tells receivers what to do with emails that fail those checks. Gmail and Yahoo require DKIM and DMARC for bulk senders.
  • A simple DMARC record to start with is a TXT record named _dmarc with the value v=DMARC1; p=none;. Later you can move to quarantine and then reject.
  • If your root domain already has DMARC, you don't need another one for the subdomain: the root domain's policy applies.
  • The sender address should be on the same domain (for example, you send through mail.yourbusiness.com and the sender is name@yourbusiness.com).

Common problems

  • The domain won't verify → Compare each record with what Elooo CRM shows: one extra or missing character is enough to fail. Check the type (TXT, CNAME, MX) and the Name/Host field (no extra @ and no repeated domain).
  • I use Cloudflare and verification fails → Set the records to DNS only (gray cloud), not Proxied (orange cloud).
  • I did everything right and it's still pending → DNS propagation can take up to 24–48 hours. Wait a while and click Verify domain again.
  • SPF or DMARC shows an error → You can only have one SPF record and one DMARC record per domain. If one already exists, merge the information into a single record instead of adding a second one.
  • I get a DMARC p=reject policy warning when sending → The sender address is on a domain with a strict DMARC policy and you don't have a verified sending domain yet. Finish verifying your domain; as a temporary fix, you can change the policy to p=none.

Frequently asked questions

How long does verification take?

Usually 1 to 10 minutes after the records are created, though DNS propagation can take up to 48 hours.

Can I add more than one domain?

Yes. Each domain or subdomain goes through the same verification process.
