Project management

How to assign a task, set its priority and set its dates

When creating a task, use Add assignee, Priority and Select date in the composer. On an existing task, open the card, click Assignee (one person with access to the space), Priority (Low, Normal, High, Urgent) and Dates (a single date or a range), then save. For several people, use subtasks.

Before you start

  • The task already exists, or you're about to create it (see "How to create a task and subtasks in a project").
  • The person you're assigning must have access to the space: if the space is private, they need to be under Share with in the space settings.
  • Dates are shown in your account's timezone; check it if your team works across regions.
Where to find it

Contacts › Tasks › (list) › (open the task) › Assignee · Priority · Dates

Step by step

Set the assignee

  1. When creating the task, click Add assignee in the composer and pick the person. It's the best moment: an unowned task has nobody watching it.
  2. On an existing task, click the card to open the detail panel.
  3. Click Assignee and choose one person from the list (only people with access to the space appear).
  4. Click Save. The person gets a notification that the task was assigned to them.
  5. To leave a task unowned, open the picker and choose the option to clear the assignee; do this only temporarily.

Split work across several people

  1. Each task has a single assignee. To involve several people, keep the parent task as the overall outcome (e.g. "Launch September newsletter").
  2. Open the task and, under Subtasks, create one subtask per part of the work (e.g. "Write copy", "Design header", "Schedule send").
  3. Assign each subtask to the person doing it. The parent task makes it clear who does what.

Set the priority

  1. When creating, use the Priority control in the composer; on an existing task, open it and click Priority.
  2. Choose a level:
    • Urgent: needs attention now, ahead of everything else.
    • High: important, to pick up soon.
    • Normal: standard work, in the usual order.
    • Low: can wait, or is for when there's room.
  3. You can also leave it unset, which is fine for routine work.
  4. Save.

Set the dates

  1. When creating, use Select date; on an existing task, open it and click Dates.
  2. Choose a single date (work that happens or is due on one day) or a range with a start and end (work that spans a period, e.g. a two-week build).
  3. Check the timezone shown next to the dates.
  4. Save. The card now shows the date or range.

Tips

  • Use priority sparingly: if nearly everything is Urgent, the field stops telling anyone anything.
  • In list view, overdue dates show in red; filter by Due date to see what's late.
  • With Group by › Assignee, the board shows who's carrying what, handy for spotting someone overloaded.
  • If you need another dimension of urgency (e.g. client impact), create a custom field on the space rather than reinventing the levels.

Common problems

  • My colleague isn't in the assignee list → They don't have access to the space. Open the space menu › Settings › Share with and add them; if they're not an account user yet, invite them first.
  • I want to assign two people → Not possible on the task; create subtasks, one per person.
  • The date shows a day off → The timezone shown is the account's. Check the account timezone in the business profile settings.
  • I removed someone's access and their tasks are still assigned → The assignment stays, but the person can no longer see or edit the tasks. Reassign anything still open before removing access.

Frequently asked questions

Can I create my own priority levels?

No. The four levels are fixed. For another scale, use a custom field.

Can I have a start date and a due date on the same task?

Yes. The Dates control accepts a range.
