How to set up a keypad phone menu (IVR)

Go to Automation › Workflows, create a workflow with the Start IVR trigger linked to your number, add Gather Input on Call with a "Press 1 for…" message, create one branch per key, and in each branch use Connect Call to route to the right destination. Publish and test.

Before you start

  • You need a phone number purchased in your account. Each number can be linked to only one IVR menu at a time.
  • You need access to Automation.
  • Decide the menu options and where each key goes (one user, several users, or an external number).
  • Text-to-speech is available in US English. If you want a custom recording, prepare an audio file (.wav recommended).
Where to find it

Automation › Workflows › Create Workflow › Start IVR trigger

Step by step

Create the menu workflow

  1. Open Automation › Workflows and click Create Workflow.
  2. Choose Start from Scratch (or, to save time, Select a Recipe and look for the IVR recipe, which comes with the blocks already in place).
  3. Click Add New Trigger and search for Start IVR.
  4. Under Phone Number, pick the number (or numbers) this menu should answer and click Save.

Ask the caller what they need

  1. Click the + below the trigger and add the Gather Input on Call action.
  2. Choose Say Message (type the text and the system reads it aloud) or Play Message (upload your own audio file with the menu, for example "Press 1 for appointments, 2 for the front desk").
  3. Under Number of Loops, set how many times the menu repeats while waiting for a key.
  4. Turn on Match Conditions and create one branch per option: name the branch (e.g. "Pressed 1") and, under On Key Press, enter the key.
  5. The None branch catches callers who don't press a valid key: use it to repeat the menu or send them to the front desk.
  6. In the advanced settings you can limit how long to wait for a key (5 to 30 seconds) and stop gathering as soon as a key is pressed.
  7. Click Save Action.

Route each option

  1. In each branch, click the + and add Connect Call.
  2. Under Connect Call To, pick the users who should answer or Add Custom Number for an external phone. You can have up to 10 destinations ring at the same time.
  3. Optionally turn on Detect Voicemail (so the call isn't connected to an answering machine), Record Call, and adjust the ring Timeout (10 seconds by default).
  4. For a "leave a message" option, use the Record Voicemail action; to say goodbye and hang up, use End Call, which can say or play a closing message.
  5. Click Save, then Publish.
  6. Call the number from a cell phone and go through every key to confirm the destinations.

Tips

  • Keep the menu short: 3 or 4 options is plenty. Long menus make people hang up.
  • In Reporting › Call Reporting, calls that went through the IVR may have several recordings (one per leg); pick them from the dropdown on the row.
  • If you'd rather have an AI answer and talk instead of a keypad menu, connect a Voice AI agent to the number (see the related article below).

Common problems

  • I call the number and the menu doesn't answer → The workflow isn't published or the number isn't selected in the Start IVR trigger. Open the workflow, check the number in the trigger and click Publish.
  • The voice sounds wrong for my audience → Say Message uses US English text-to-speech. Record your own audio and use Play Message (.wav file).
  • The caller presses a key and nothing happens → The branch for that key is missing under Match Conditions, or the branch has no Connect Call action under it. Check the key and the action in every branch.
  • I can't select the number in the trigger → That number is already linked to another IVR workflow. Each number can have only one menu; remove it from the other workflow first.
  • The call drops when nobody answers the option → After the Connect Call action, add Record Voicemail or another Connect Call to a different destination so the caller isn't left hanging.

Frequently asked questions

Can I use the same menu on two numbers?

Yes. In the Start IVR trigger you can select more than one number. What you can't do is have the same number in two IVR workflows.

Does the menu work after hours?

The IVR answers whenever the workflow is published. For different behavior by time of day, add a date/time condition after the trigger and route to voicemail outside business hours.
