How to make a group private and approve join requests

Before you start
- You must be the group owner or an admin. Contributors can't change settings or approve requests.
- Know what changes: switching from public to private makes existing content visible only to current members; switching from private to public approves every pending request at once.
Where to find it
Memberships › Communities › Groups › (open the group) › Settings › Details
Step by step
Make the group private
- Open Memberships › Communities and enter the group.
- Click Settings.
- On the Details tab, switch the privacy to Private.
- Click Save.
- From now on, anyone opening the group link sees a Request to Join button. After clicking it, the button changes to Membership Pending until you decide.
Ask questions to people who request to join (optional)
- In Settings, open Member Questions.
- Turn on Enable Member Questions.
- Click Add Question and type your question. You can create up to 3.
- Choose the type: Text Box, Single Select or Multi Select. For select types, every option must be different.
- Save. People requesting to join now answer these questions before the request reaches you.
Approve or decline requests
- In the group, open Members and choose the Requested filter.
- Next to each person, click the three dots.
- If you use member questions, click Membership Answers to read what they wrote.
- Click Approve or Decline. The person gets an email with the decision; if approved, it includes the link to get in.
Hide the group from non-members
- In Settings, find the Accessible from switcher option.
- Turn it off if you don't want members of your account's other groups to see this one in the top-left group switcher.
- Save.
Tips
- In a private group, even people arriving through an invite link go through approval. If you want invitees to get straight in, keep the group public.
- Pair member questions with a paid group: that way you only approve people who paid and answered what you need.
- Check requests regularly. People who wait days for approval tend to give up.
- The "request approved", "request declined" and "new member request" (to you) emails can be edited under Memberships › Client Portal › Settings › Email Settings › Communities.
Common problems
- Someone says they requested to join but I can't see the request → Make sure you're on the Requested filter under Members and that they actually clicked Request to Join (their button should read Membership Pending).
- I switched to public and everyone who was waiting got in → That's expected: switching to public auto-approves pending requests. Review the members and remove anyone who shouldn't be there.
- I can't add more questions → The limit is 3 questions per group. Combine questions or turn one into a multi-select.
- I don't see the option to change privacy → Only owners and admins see it. Ask an admin to change your role.
Frequently asked questions
Who can approve requests?
The group owner and admins, under Members › Requested.
Do existing members lose anything when the group becomes private?
No. Anyone who was already a member keeps seeing everything. What changes is that outsiders can no longer see posts or the member list.
