How to automate your affiliate program with workflow triggers and actions

In Automation › Workflows, use the Affiliate created, Affiliate enrolled in campaign, New affiliate sales and Lead created triggers, and the Add to affiliate manager, Add to affiliate campaign, Update affiliate, Remove from affiliate campaign, Add leads under an affiliate and Add manual sales actions.

Updated on

Before you start

  • Have at least one affiliate campaign created and published.
  • Know the basics of workflows: trigger + actions (see the related articles).
  • Decide what to automate: new affiliate sign-ups, welcome messages, sale alerts, activation/deactivation.
Where to find it

Automation › Workflows › Create Workflow › Add New Trigger / +

Step by step

Available triggers

  1. Open Automation › Workflows and create a new workflow.
  2. Click Add New Trigger and search for "affiliate". Pick one:
    • Affiliate created: fires when a new affiliate is added.
    • Affiliate enrolled in campaign: fires when an affiliate joins a campaign (ideal for sending the link and portal instructions).
    • New affiliate sales: fires when a sale is attributed to an affiliate (you can notify the affiliate or your team).
    • Lead created: fires when a new lead is attributed to an affiliate.
  3. Click Save Trigger.

Available actions

  1. Click the + below the trigger and search for "affiliate". Pick the action:
    • Add to affiliate manager: the workflow contact becomes an affiliate with Active status.
    • Add to affiliate campaign: choose the campaign from the list; the contact is enrolled (and becomes an active affiliate if they aren't one yet).
    • Update affiliate: marks the affiliate as active or inactive.
    • Remove from affiliate campaign: choose the campaign they leave.
    • Add leads under an affiliate: associates the contact as a lead of the chosen affiliate.
    • Add manual sales for an affiliate: records a sale (see the related article).
  2. Configure the action, click Save Action and publish the workflow.

Example: a partner form that enrolls and welcomes

  1. Trigger: Form Submitted (the "I want to be a partner" form).
  2. Action: Add to affiliate campaign › pick the campaign.
  3. Action: Send Email with the welcome message and how to sign in to the affiliate portal.
  4. Publish. Everyone who fills out the form becomes an affiliate in the campaign and gets the email.

Tips

  • To alert your team when an affiliate sale comes in, combine New affiliate sales with Internal Notification.
  • To deactivate idle affiliates, use a workflow with Update affiliate › inactive after a period of no activity.
  • You don't need Add to affiliate manager before Add to affiliate campaign: the latter creates the affiliate if needed.

Common problems

  • The affiliate trigger doesn't fire → Make sure the workflow is published and the event happened after publishing. Check the workflow's Execution Logs.
  • The Add to campaign action fails → The chosen campaign isn't published or was deleted. Open the action and pick an active campaign.
  • The affiliate was created but didn't get the email → The welcome email must be a Send Email action in the same workflow (or the campaign's own welcome email must be turned on).
  • A contact became an affiliate by mistake → Some workflow has the affiliate action on a branch with no condition. Add an If/Else before it (for example, only if the contact has the "partner" tag).

Frequently asked questions

Can I use affiliate fields in messages?

Use contact fields (name, email) in your messages; affiliates look up their referral link in the portal.

Does this replace adding affiliates by hand?

It doesn't replace it, it complements it: you can still add affiliates from the affiliate list whenever you like.
