Rentals

How to create a rental listing (room, equipment, vehicle) from scratch

In Calendars › Calendars › Rentals › Listings, click + New Listing, fill in image, name, description, base price per hour/day/week/month and category. Under Advanced Settings, set stock, variants, seasonal pricing, booking period and durations. Keep it inactive until you're done.

Updated on

Before you start

  • Rentals must be enabled in your account (the Rentals tab appears under Calendars).
  • Have photos, a description and the base price for each item.
  • Decide the billing unit (hour, day, week or month) and how many units you have (e.g. 3 identical cameras).
Where to find it

Calendars › Calendars › Rentals › Listings › + New Listing

Step by step

Create the listing (basics)

  1. Open Calendars › Calendars, click Rentals, then Listings.
  2. Click + New Listing in the top-right corner.
  3. Fill in:
    • Images: photos shown on the public booking page.
    • Listing Name (required), e.g. "Meeting room A", "Professional camera".
    • Description: what's included and the terms.
    • Base Price and Booking Unit (e.g. $50/hour).
    • Category: groups listings on the public page. Without one, it goes to the default category.
    • Status: keep it Inactive until setup is done, to avoid early bookings.
  4. Click Advanced Settings to continue.

Stock and variants

  1. On the Inventory & Pricing tab, turn on Inventory if you have more than one unit and enter the Stock (e.g. 3). Off, the listing counts as a single unit.
  2. If you have versions of the same item (e.g. "Body only" and "With lens"), turn on Variants and click + New: name, stock, base price and, optionally, a security deposit. Click Confirm.

Seasonal, weekday pricing and discounts

  1. On the same tab, use the advanced pricing options:
    • Seasonal Pricing: changes the price for a date range (e.g. +20% during holidays).
    • Day of Week Pricing: different rates for weekends.
    • Hour of Day Pricing: hourly listings only.
    • Duration Discounts: e.g. 10% off from 7 days.
    • Quantity Discounts: e.g. 15% off for 5+ units.

Booking period and durations

  1. On the Booking Settings tab, choose how customers pick dates:
    • Date & Time Selector: the customer picks start and end with times (ideal for hourly rentals).
    • Date Selector: dates only; set the Rental Start Time (check-in) and Rental End Time (check-out). If the end time is later than the start time, it's charged per day; if earlier, per night.
    • Fixed Durations: the customer picks packages (e.g. 2 hours, 1 day, 1 week).
  2. Set the Minimum and Maximum Duration and, if you need setup or cleaning time, the Pre/Post Buffer Time.
  3. On the Calendar Sync tab, you can connect an external calendar to block dates already taken.

Publish

  1. Go back to General Information, switch Status to Active and save.
  2. In the listings list, use Share to copy the listing's public link.

Tips

  • To ask customers for extra details on booking, turn on Enable Listing Specific Form under General Information and pick a form.
  • Reordering categories in the left panel changes their order on the public page.
  • Use Duplicate in the list to create similar listings without redoing everything.

Common problems

  • The listing doesn't show on the public page → Its status is Inactive. Edit the listing and switch it to Active.
  • Hourly pricing doesn't work → The Date Selector doesn't support hourly pricing. Switch to Date & Time Selector or Fixed Durations.
  • Totals look wrong → Review the rules under Inventory & Pricing (seasonal, weekday, discounts) and run a test booking.
  • The Rentals tab isn't there → Rentals aren't enabled in your account. Ask your account administrator to enable them.
