Invoices and estimates

How to split an invoice into installments or take a deposit (payment plan and partial payment)

On the invoice, click Add Payment Schedule and split the total into installments by percentage or fixed amount, each with a due date. To let customers pay any amount above a minimum, turn on Partial Payments under Payments › Invoices & Estimates › Settings › Payment Settings.

Updated on

Before you start

  • You need a payment provider connected under Payments › Integrations.
  • You need permission to manage Payments.
  • Decide on the model: payment plan (you set the installments and dates) or partial payment (the customer chooses how much to pay, above a minimum).
Where to find it

Payments › Invoices & Estimates › (invoice) › Add Payment Schedule

Step by step

Create an installment plan on an invoice

  1. In Payments › Invoices & Estimates, create a new invoice or open an existing one.
  2. After adding the products, click Add Payment Schedule.
  3. Choose to split by percentage or fixed amount and set each installment with its due date (e.g. 50% on sending, 50% in 30 days).
  4. Save and click Send.
  5. The customer sees the plan on the invoice. When paying, they pick the installment that's due or check several to pay at once; they can only pay in the installments you defined.
  6. The invoice becomes Paid once all installments are paid. On each installment's due date, the customer gets a notice if it's still unpaid.

Charge installments automatically

  1. When you click Send on an invoice with a payment schedule, switch on Auto-payments.
  2. Pick the card: the one used for the first payment, a card saved on the customer's record, or a new card.
  3. The remaining installments are charged to that card on the set dates. You can track each charge in Payments › Transactions.

Allow partial payment with a minimum amount

  1. In Payments › Invoices & Estimates, click Settings, then Payment Settings.
  2. Turn on Partial Payments.
  3. Enter the minimum percentage of the invoice total the customer must pay each time.
  4. Click Save. From now on, on one-time and recurring invoices, the customer can pay any amount equal to or above that minimum and the rest stays outstanding.

Tips

  • Use a payment plan for larger invoices: you control the size and date of each installment.
  • Use partial payment when you want flexibility for the customer (for example, any deposit above 30%).
  • On a partially paid invoice you can still edit the installments, dates and outstanding amounts without voiding the invoice.
  • The Payment Schedule Received notice can be edited or turned off under Settings › Notifications › Customer Notifications.

Common problems

  • The customer can't pay an amount of their choosing → With a payment plan they can only pay in the defined installments. For a free amount, turn on Partial Payments in Settings.
  • The partial payment option doesn't show on the invoice → Enable it first under Settings › Payment Settings and set the minimum percentage.
  • A recurring invoice with auto-payment charged the full amount → With auto-payment on, partial payment only applies to the first invoice; the following ones are charged in full.
  • I want to change the dates after the customer paid the first installment → Open the invoice (partially paid status), click Edit on the payment schedule, adjust and resend.

Frequently asked questions

Can I combine a payment plan with a discount and taxes?

Yes. The plan splits the invoice's final total, with discounts and taxes already applied.

Can the customer pay several installments at once?

Yes. On the payment page they check the installments they want to pay right then.
