Custom fields and values

How to create and use custom values

In Settings › Custom Values, click Add Custom Value, give it a name, enter the value (for example, your business phone number) and save. Then insert it into messages, emails, workflows or pages; if you change the value, it updates everywhere.

Updated on

Before you start

  • You need access to Settings.
  • A custom value stores information that's the same across the whole account: support phone or email, address, website link, opening hours, sign-off, disclaimer.
  • If the information differs from contact to contact (for example, birthday), use a custom field instead.
Where to find it

Settings › Custom Values › Add Custom Value

Step by step

Create a value

  1. In the left menu, open Settings and click Custom Values.
  2. Click Add Custom Value.
  3. Enter a name that's easy to recognize (for example, "Clinic phone").
  4. Enter the value that should appear (for example, +1 555 000 0000).
  5. (Optional) Choose a folder to keep it organized.
  6. Click Save. The value gets its own merge field (a code in double curly braces) that you can insert wherever you need it.

Use the value

  1. Open the editor where you want to use it: a message in Conversations, an email or template, a workflow action, a website page or a social post.
  2. Open the editor's merge field picker (in many workflow fields, just type /).
  3. Choose the Custom Values category and click the value. The code is inserted into your text.
  4. When the message is sent or the page is shown, the code is replaced with the saved value.

Edit or delete a value

  1. In Settings › Custom Values, find the value.
  2. Click the three-dot menu next to it and choose Edit Custom Value (or Delete Custom Value).
  3. Make your changes and save, or confirm the deletion. When you edit, the information updates everywhere the value is used.

Tips

  • Create folders such as "Business contact info", "Links" and "Legal text" as your list grows.
  • Workflows can also change a value automatically with the Update Custom Value action.

Common problems

  • The code shows up instead of the value in my message → The code was typed by hand with a mistake. Delete it and insert it again with the merge field picker.
  • The value is highlighted in red in a workflow → The value isn't recognized (it was deleted or renamed). Click it and pick a valid value from the picker.
  • I changed the value but an old message still shows the previous one → Messages already sent don't change. The update applies to sends and pages from now on.
  • I deleted a value and my templates now have a blank space → Before deleting, make sure the value isn't used in templates, workflows or pages. Recreate it and insert it again where it's missing.

Frequently asked questions
